At Paper Haven Quartz, we understand that travel plans can change. This Refund Policy outlines the terms and conditions regarding cancellations, refunds, and booking changes for travel services booked through Paper Haven Quartz.

By making a booking with us, you agree to the terms of this Refund Policy. Please read this policy carefully before making any reservations.

2. Cancellation and Refund Schedule

2.1 Standard Tour Packages

For standard tour packages, the following cancellation and refund schedule applies:

2.2 Custom Itineraries

For custom-designed itineraries, the following cancellation and refund schedule applies:

60-90 days before departure 50% of the total booking value
30-59 days before departure 25% of the total booking value
Less than 30 days before departure No refund

2.3 Special Events and Peak Season Bookings

For travel during peak seasons (December 15-January 15, Easter week, and July 1-August 31) or involving special events (festivals, sporting events, etc.), stricter cancellation policies may apply:

2.4 Non-refundable Deposits and Services

Please note that certain services or portions of your booking may be non-refundable regardless of when you cancel. These may include:

  • Booking and service fees
  • Travel insurance premiums
  • Visa processing fees
  • Certain accommodation, transportation, or activity reservations that require full non-refundable payment in advance

Any non-refundable items will be clearly identified at the time of booking.

3. How to Request a Cancellation or Refund

To request a cancellation or refund, you must:

  1. Submit your request in writing by email to bookings@paperhavenquartz.xyz
  2. Include your booking reference number, full name, and the reason for cancellation
  3. Submit your request as soon as you know you need to cancel

The cancellation date will be the date we receive your written cancellation request. Verbal cancellations will not be accepted.

3.1 Refund Processing

If you are eligible for a refund:

  • Refunds will be processed within 30 business days of receiving your cancellation request
  • Refunds will be issued using the same payment method used for the original booking
  • Credit card refunds may take an additional 5-10 business days to appear on your statement, depending on your card issuer

4. Booking Changes and Modifications

4.1 Change Fees

If you need to make changes to your booking (dates, destinations, accommodations, etc.), the following fees apply:

  • Changes made more than 60 days before departure: £50 administrative fee per change
  • Changes made 30-60 days before departure: £100 administrative fee per change
  • Changes made less than 30 days before departure: £150 administrative fee per change

In addition to the administrative fee, you will be responsible for any difference in cost resulting from the changes.

4.2 Name Changes

If you need to change the name of a traveler in your booking:

  • Name changes made more than 60 days before departure: £50 per person
  • Name changes made less than 60 days before departure: £100 per person

Please note that some suppliers (airlines, hotels, etc.) may impose additional fees for name changes or may not permit name changes at all. These additional fees will be passed on to you.

4.3 Booking Transfers

If you are unable to travel, you may transfer your booking to another person, provided that:

  • You notify us at least 30 days before departure
  • The new traveler meets all requirements for the trip (visa, passport, health, etc.)
  • You pay a transfer fee of £100 plus any additional costs imposed by suppliers
  • Both you and the new traveler are jointly liable for payment of any balance due

5. Cancellations by Paper Haven Quartz

5.1 Tour Cancellations

We reserve the right to cancel a tour or travel arrangement due to insufficient participants, unforeseen circumstances, or force majeure events. If we cancel a tour:

  • We will notify you as soon as possible
  • We will offer you an alternative comparable tour, if available
  • If you choose not to accept the alternative tour, we will provide a full refund of all payments made

Please note that Paper Haven Quartz is not responsible for any incidental expenses that you may have incurred as a result of your booking, such as visas, vaccinations, non-refundable flights, or loss of enjoyment.

5.2 Significant Changes

If we need to make a significant change to your tour (e.g., change of destination, major change in itinerary), we will inform you as soon as possible. You may choose to:

  • Accept the changes
  • Accept an alternative tour of comparable standard, if available
  • Cancel your booking and receive a full refund

Minor changes to itineraries, accommodation of similar or higher standard, or transportation arrangements do not constitute significant changes and do not entitle you to cancel without incurring the standard cancellation fees.

6. Force Majeure and Extenuating Circumstances

In cases of force majeure or extenuating circumstances beyond our control (such as natural disasters, pandemics, political unrest, or terrorism), the standard cancellation policy may be modified.

If such circumstances occur:

  • We will make reasonable efforts to provide alternative arrangements or reschedule your trip
  • If travel is not possible or advisable, we may offer travel credits for future use instead of monetary refunds
  • Any refunds or credits will take into account non-recoverable costs and expenses already incurred by Paper Haven Quartz

Each situation will be evaluated on a case-by-case basis, and our decision will be final.

7. Travel Insurance

We strongly recommend that all clients purchase comprehensive travel insurance that includes coverage for trip cancellation, interruption, and medical emergencies. Travel insurance can provide protection and reimbursement in many circumstances where our standard refund policy would not apply.

Please note that:

  • Travel insurance is not included in our tour prices unless explicitly stated
  • Travel insurance must be purchased at the time of booking or shortly thereafter to be fully effective
  • It is your responsibility to understand the coverage, limitations, and exclusions of your insurance policy

Even with travel insurance, we recommend reviewing the cancellation and refund policies of your specific policy, as coverage may vary.

8. Unused Services

No refunds will be provided for any unused services, accommodations, or features of your tour package once travel has commenced. This includes:

  • Missed flights, transfers, or activities
  • Early departure from a tour
  • Services not utilized due to illness, injury, or personal choice
  • Changes to itinerary made at your request during the tour

This policy applies regardless of the reason for not using the service, including circumstances outside your control.

9. Special Accommodations

We understand that special circumstances may arise. While we must adhere to our standard policies to maintain fairness and consistency, we may consider exceptions in truly extraordinary situations. Such considerations are at the sole discretion of Paper Haven Quartz management and will be handled on a case-by-case basis.

10. Updates to This Policy

We reserve the right to modify this Refund Policy at any time. Any changes will be effective immediately upon posting the updated policy on our website. The policy that was in effect at the time of your booking will apply to your reservation.
